Booking and Payment

How much deposit do I need to secure the accommodation?

A deposit of 25% of the total accommodation cost is required with 7 days of booking. This is non-refundable should you cancel at any time after booking.

What time is check in/check out?

Check in is from 3pm onwards and check out is by 12noon. In some cases we may require you to depart by 11am.

Can I arrive or depart any earlier?

We are happy to allow you to arrive 1 hour earlier providing the circumstances allow us to e.g. There are no departures on your day of arrival. Similarly, if we do not have any arrivals on your day of departure we will allow you to check out 1 hour later. However this cannot be confirmed until approximately 1 week prior to your arrival date. Although we will try our best we cannot guarantee early arrival or late check out. We do not allow arrivals earlier than 2pm or departures later than 1pm.

What is the pre-authorisation? Does the money leave my account?

The pre-authorisation is a temporary hold of an amount to guarantee funds are available to cover any incidentals or extra charges which may occur during your stay. This is not an extra charge and will not affect the cost of your booking. No money will be debited from your account, however you do need to have the funds available as this will show as a pending transaction. Please refer to our terms and conditions for further details

What is the amount you pre-authorise?

We pre-authorise £200.00 per cottage booked. One card or multiple cards may be used.

When do I need to provide you with card details to pre-authorise for incidentals?

We will contact you, within 7 days of your arrival, by telephone for your card details.

When will the pre-authorisation be released?

The pre-authorisation amount will be released following departure, providing we do not need to process a payment. Funds take on average 10 working days to clear on your statement from the date of transaction. This varies from bank to bank but should not take more than 30 days.

What happens if I cancel my booking?

Amenities and Key Notes

What is provided in the cottages?

All cottages are fully equipped for a self-catered stay (see above). Amenities include; washing machine*, dishwasher*, cooker and hob, microwave, kettle, toaster, fridge freezer*, colour TV, DVD player, DAB radio with integrated bluetooth speakers, iron and ironing board. We also provide washing up liquid, kitchen bleach spray, dishwasher tablets (if applicable), tea towels, dish cloth and sponge, kitchen roll, toilet rolls, kitchen foil, cling film, bin liners, hand soap, toilet duck and air freshener. Tea, coffee and sugar sachets and milk pots are also provided for one welcome drink only.

Please note we do not provide shampoo/ conditioner/ body-wash. We advise guests to bring their own toiletries.

 Are there glasses, plates and cutlery in the cottage?

All of our cottages are fully equipped for a self-catered stay including all cutlery, utensils, crockery, pots, pans, glasses (water, pint, wine and champagne glasses) and mugs.

Are towels and bedding provided?

We provide all bed and sofa bed linen, and one bath towel per person. Please note we do not provide additional towels for use of the hot tub. Please bring your own towels if you have booked a hot tub.

Are hairdryers provided in the cottages?

No- we advise that guests bring their own hairdryer.

Can we bring extras guests and airbeds?

No – Maximum occupancy of each cottage must not be exceeded. Airbeds are strictly not permitted. We may instruct you or any member of your party to leave immediately where the maximum numbers have been exceeded.

Can you provide highchairs and cots?

High chairs and cots can be provided free of charge upon request.

Is there a BBQ at the cottage?

We can provide a BBQ free of charge upon request. You are required to bring your own coal

Can I arrange a super market food delivery?

Yes, however please make sure you choose a time slot for after you have arrived at the cottage, as we may not have a member of staff on site to accept this for you.

Where is the hot tub located? (If applicable to your booking)

The hot tub will be situated at the rear patio doors of the cottage. For Yorkshire Rose House bookings this will be located on the paved area at the rear of the property. Hot tubs are limited to one per cottage. If you have booked multiple cottages the hot tubs will be located at each cottage booked. We cannot place two hot tubs at the same cottage. Hot tubs are not located at the following cottages: Dante Cottage, Melrose Cottage, Bishop Cottage and Coney Cottage.

How many parking spaces are at Villa Farm?

There is ample parking at Villa Farm, we do not have a set number of spaces allocated to each cottage. However, please be aware that there may be other guests that will also need parking too, so we advise to try come in as minimal cars as possible.

Is there an electric car charging point at Villa Farm?

We have 2 electric car charging points at Villa Farm, these are located at Dove Cottage but are available for all guests to use. The ports are provided by EV Energy- guests will need to download the app to begin their charging session, more information available here:

Alternatively, Villa Farm is located just a 5 minute drive from Clifton Moor Shopping (YO30 4XZ) where you can find a PodPoint Charging Station or a 10 minute drive from LNER Community Stadium (YO32 9AF) where there is a bpPulse Charging Station.

Is there Wi-Fi at Villa Farm?

We provide Wi-Fi free of charge at both locations, however please note that the provision of free Wi-Fi is not unlimited. It is intended for general web browsing and we kindly ask you refrain from downloading items from the internet. We reserve the right to charge for excessive use

Do you allow smoking?

All properties are strictly non-smoking. We reserve the right to charge £50.00 if it is found that you or any member of your group has been smoking within the accommodation. Smoking containers are provided on the picnic benches on the patio areas at the rear of the cottages.

Do you have cottages with disabled access?

Minster Lodge has two ground floor bedrooms and a ground floor disabled adapted shower room

Do you accept dogs?

We accept dogs upon request only. There is an additional charge of £30.00 per pet. We kindly ask you do not let your dog in any of the bedrooms, first-floor areas or on any furniture, sofas or beds. Dogs must be under supervision at all times during your stay and kept on a lead when in the grounds.

York Railway station is the closest station, located less than 4 miles away from Villa Farm, approximately 15-20 minutes by car.

Villa Farm is less than 4 miles from the centre of York, approximately 15-20 minutes by car.

Is there a bus stop near Villa Farm?

The number 40 Reliance bus stops at Villa Farm gates if passengers are waiting. Timetables can be found in the cottages or online at

Are there any taxi numbers provided in the cottages?

What is the closest supermarket and how far away is this from Villa Farm?

The closest supermarket to Villa Farm is Tesco at Clifton Moor Shopping Park. This is less than a 5-minute drive away.

What is the closest pub and how far away is this from Villa Farm? Is this within walking distance?

The closest pub is The Black Horse and is located in the village of Wigginton, less than 5 minutes drive from Villa Farm. We do not recommend walking as Villa Farm is located on a busy main road, B1363, with no footpaths or streetlights.
